How Centenary Suburbs Men's Shed collects, uses, stores and protects your personal information.

    About this policy

Centenary Suburbs Men's Shed Inc. ("CSMS", "we", "us") respects your privacy. This policy explains what personal information we collect through csms.org.au and our membership process, why we collect it, how we store it, and how you can access or correct it.

    What personal information we collect

Through our online membership application, we collect:

    • check_circleYour name, preferred name, date of birth, address and contact details (phone, email)
    • check_circleEmergency contact details (name, relationship, phone numbers)
    • check_circleWhether you have a veteran or ex-service history, and your service record if you choose to share it
    • check_circleTrade, professional qualifications, work experience and hobbies/interests you choose to tell us about
    • check_circleWhich volunteer activities you're interested in (catering, member welfare, community projects, and so on)
    • check_circleWhether you agree to have your contact details shared with other members
    • check_circleWhether you're happy to be photographed or filmed at Shed activities

We do **not** collect medical or health information through this website. Medical Records Forms are completed on paper, in person, and held separately in confidence by the Shed Management Committee — they are never entered into our online systems.

    How we collect it

Mainly through the membership application form on this website. We may also collect information directly from you by email, phone, or in person at the Shed.

    How we use it

    We use your information to:

    • check_circleProcess and review your membership application
    • check_circleContact you about your application, Shed activities, and events
    • check_circleKeep an accurate membership register
    • check_circleContact your emergency contact if needed
    • check_circleMatch you with volunteer roles you've expressed interest in
    • check_circleShare your contact details with other members, but only if you've told us that's okay

We're not a commercial business. We don't use your information for anything beyond running the Shed, and we don't sell or trade member information.

    Photography and publicity

We sometimes take photos or videos at Shed activities for newsletters, our website, or promotional purposes. If you'd rather not be included, tell us on the membership form or let a committee member know at any time, and we'll do our best to avoid photographing you.

    Where your information is stored

We use GoHighLevel, a customer relationship management (CRM) platform, to store and manage membership records online. Like most cloud software, GoHighLevel's servers are located overseas (in the United States), meaning your information may be processed outside Australia. GoHighLevel is a password-protected system, and access is limited to committee members and shed administrators who need it to manage membership.

Medical Records Forms are kept on paper, in a sealed envelope, in your file — not online. If you resign your membership and don't ask for your medical form back, it's shredded three months after your resignation.

    Disclosing your information

We may need to share limited information with:

    • check_circleOur IT and software providers (such as GoHighLevel), so we can run our membership system
    • check_circleOur insurer, the Australian Men's Shed Association (AMSA), for public and product liability coverage purposes
    • check_circleRegulatory bodies where we're required to by law — as a Queensland Incorporated Association, this may include the Queensland Office of Fair Trading

We don't sell, rent, or trade your information to anyone else.

    Keeping your information accurate

If your contact details, emergency contact, or any other information change, let us know and we'll update our records. You can also ask us at any time what information we hold about you.
